Offer of a position as Brussels Office Assistant for the European Federation of Geologists

Place of work:
Your place of work will normally be at the EFG’s Brussels Office at Service Géologique de Belgique, 13 Rue Jenner, B-1000 Bruxelles
Start Date:
Your start date will be: 15th September 2010 (or such later date in September as may be agreed between you and the Brussels Office Director). 
Salary:
Your initial net part time salary (20 hours per week) will be €800 per month. 
Office Hours:
Normal office hours are Monday to Friday, 09:00h to 13:00h but staff may be required to assist with extra work outside these normal hours (for example if you are required to attend all or part of Board or Council meetings held at weekends up to 4 times in any year (2 Board meetings and 2 Council meetings).  
Roles and responsibilities of the position
The EFG Office Assistant’s role is to provide all necessary administrative support to the Brussels Office Director to ensure that the Brussels Office meets all requirements of applicable Regulations of the European Federation of Geologists, specifically those set out in Regulation N4 (full details of which will be available to you on taking up your appointment).
General duties
The Brussels Office Assistant’s duties will include, but not necessarily be restricted to, the following routine office support activities, as directed by the Brussels Office Director:
-                           answering the telephone;
-                           filing;
-                           printing;
-                           photocopying;
-                           typing letters;
-                           ordering or purchasing day to day office supplies;
-                           preparing documents and reports for Council and the Board;
-                           posting documents and other information on the EFG website;
-                           preparation of invoices, letters and emails to be sent to EFG members;
-                           routine updating of office and project accounting information;
-                           maintaining an up to date database of member associations, Council members, Board members, and other important EFG contacts;
-                           providing any necessary secretarial assistance to members of the Board or other Officers of the EFG when they visit the Office;
-                           providing administrative support to the Registration Authority, the International Licensed Body and the Secretary General in fulfilling their tasks in respect the award of the European Geologist title, maintenance of registers of title holders, and timely circulation of notices of meetings, agendas and council papers;
-                           making catering arrangements for Board, Council and other meetings that may be held at the Office;
-                           researching travel and accommodation options and placing bookings on behalf of the Brussels Office Director or members of the Board; and
-                           taking and typing up minutes of meetings when requested to do so.
